TUI UK Wedding Terms & Conditions
These wedding terms and conditions apply to all new TUI UK wedding bookings with departure dates from 1st May 2027 onwards. All weddings due to depart before this time will be subject to terms set out in the couple's TUI UK Wedding Contract.
When you book a wedding package with TUI UK, you are contracting with TUI UK Limited, Company Number 02830117, Registered Office: Wigmore House, Wigmore Lane, Luton, Bedfordshire, LU2 9TN (“TUI UK”).
Important: our weddings do not include accommodation or flights. If you would like to book a TUI UK wedding package with us, the wedding couple must always have a confirmed package holiday with TUI UK. It is not possible to book a wedding with TUI UK without an existing package holiday booking e.g. accommodation and flights.
All TUI UK wedding packages and wedding services are subject to availability.
Please note: travel insurance policies do not cover weddings. We strongly recommend that you take out suitable wedding insurance at the time of booking in addition to your travel insurance.
Our Wedding Contract (which contains details of your wedding inclusions, venue and general document/information guides), our confirmation pack and our Wedding Terms and Conditions, collectively form our Wedding Agreement with you for your wedding arrangements.
Our Wedding Agreement is supplemental to TUI UK’s Agreement for Package Holidays which continue to apply to your package holiday e.g. accommodation and flights. Our Agreement together with TUI UK’s Agreement for Package Holidays form our entire agreement with you.
In the event of conflict between the terms of our Wedding Agreement and TUI UK’s Agreement for Package Holidays, the terms of this wedding contract shall prevail.
Our Wedding Agreement is made under the laws of England and Wales. You submit to the exclusive jurisdiction of those courts. You can choose the law and jurisdiction of Scotland or Northern Ireland but only if you live there.
Providing Information
Please ensure that all information that you provide us with is correct.
Booking Your Wedding
When you book your wedding, you will need to sign our Wedding Contract. We will only deal with the lead named passenger on your package holiday booking (we recommend that this is one of the wedding couple so that we can discuss the booking details with you) regarding your wedding and you must be 18 or older when you book.
When we say “you”/“your” we mean the lead passenger or the wedding couple collectively, depending on the context.
Your TUI UK wedding package cannot be confirmed until we have received your signed Wedding Contract. Your wedding date may be confirmed at a later date in some cases (see “Wedding Date Requests” below).
The Price You Pay
We will let you know the total cost of your TUI UK wedding package before you book with us. The price provided to you is correct at the date/time that you enquire with us, but as we work with third party suppliers, the total cost may change if you do not book your TUI UK wedding package at that time.
When you make a wedding booking, you must pay a non-refundable wedding deposit. The amount of wedding deposit payable varies per venue and ranges from £400 to 100% of the total TUI UK wedding package cost.
Please note: if a complimentary TUI UK wedding package is available at your hotel, you will still need to pay a £400 non-refundable wedding deposit, which will be deducted from the balance of your package holiday booking. If, for any reason, you cancel your wedding, the deposit will not be refunded (see also “Complimentary Offers (Hotel Weddings Only)” below).
We will let you know the exact deposit payable before you book your wedding with us.
If the price of your TUI UK wedding package changes because of movement in the relevant exchange rates, taxes or fees charged by someone else (such as Town Hall fees) we can charge you that increase or refund to you a decrease (less our administrative expenses) providing it doesn’t happen within 20 days before the start of your holiday. If we need to do this, we’ll let you know.
If the increase is more than 8% of the TUI UK wedding package price, you may cancel your wedding within 14 days of us telling you about the increase and we’ll refund your wedding price (excluding any amendment charges).
Your wedding will not be confirmed by us until we receive a signed wedding contract from you with your accompanying non-refundable wedding deposit. Your wedding deposit will be payable by you in addition to your package holiday deposit.
We require full payment for your TUI UK wedding package and package holiday no later than 12 weeks before your departure date. If you don’t pay your final balance, we can cancel your TUI UK wedding package and package holiday and charge our standard cancellation fees (as set out in “If You Cancel Your Wedding” below).
When you book your TUI UK wedding package, we will send you a booking confirmation within 14 days. Mistakes can happen, so if any price on your booking confirmation / our website / booking system is obviously wrong, a booking made based on this price won't be valid. We can cancel it and refund you, unless you want to pay the correct price.
Wedding Venues
TUI UK offers hotel venue and external venue wedding packages, which vary per location. If you book a TUI UK wedding package at your hotel (where available), your wedding venue will be at your hotel. If you book a TUI UK wedding package at an external venue (where available), your wedding will be held outside of your hotel at an external location. Your Wedding Contract will identify what venue you have booked for your TUI UK wedding package.
Each hotel/venue has its own specific terms for weddings, which you must satisfy. This may include rules for using external or non-approved service providers (hairstylists, make-up artists, musicians etc.), the use of confetti, minimum number requirements, the number of weddings held per day and restrictions of use (list is not exhaustive). The terms that apply at your specific hotel/venue will be set out in your Wedding Contract.
Complimentary Offers (Hotel Weddings Only)
Some hotels offer complimentary wedding packages if you meet their minimum eligibility criteria (varies per hotel). Your Wedding Contract will specify whether a complimentary TUI UK wedding package is available at your hotel and will detail the hotel’s minimum eligibility criteria. In some cases, you will need to pay a deposit, which will be deducted from the final balance of your holiday booking if you meet the hotel’s minimum eligibility criteria (see also “The Price You Pay” above). If you do not meet this, you will be required to pay the full price of the TUI UK wedding package. If you cancel, our standard cancellation fees will apply (see “If You Cancel Your TUI UK Wedding Package” below).
Wedding Transport
Wedding Car
Some TUI UK wedding packages include a wedding car. Your Wedding Contract will confirm if a wedding car is included, how many people can travel in the wedding car and the specified journey.
Please note: the make and model of the wedding car is subject to change.
Car Transport for Paperwork
Some TUI UK wedding packages include car transport to the local Town Hall (or equivalent) to help you arrange your wedding paperwork. Your Wedding Contract will confirm if car transport is included for this purpose.
Wedding Packages
Your Wedding Contract will list what is included in your chosen TUI UK wedding package. Any items not specifically listed as being included will not form part of our Wedding Agreement with you. Please also see “Wedding Extras” below.
Wedding Ceremony Options
There are three types of wedding ceremony:
Symbolic wedding – non-legal ceremonies
Civil (legal) weddings – official legal ceremonies
Renewal of Vows – non-legal celebration of marriage ceremonies
Each hotel/venue offers different ceremony options. Your Wedding Contract will list which ceremonies are available at your chosen hotel/venue, along with the prices for you to choose from.
Please note: some hotels/venues require you to book certain ceremony types directly with them. If you wish to change the ceremony type included in your TUI UK wedding package, you’ll need to:
book your TUI UK wedding package first;
contact your wedding co-ordinator, who will help you to arrange this with your hotel/venue (subject to availability); and
pay the additional fee to your hotel/venue (these are not included in your TUI UK wedding package).
Wedding Receptions
Not all TUI UK wedding packages include a wedding reception in the price. If a wedding reception is included in your TUI UK wedding package, it will be listed as an inclusion in your Wedding Contract.
If a wedding reception is not included in your TUI UK wedding package, you may be able to book one as a wedding extra directly with the hotel/venue (subject to availability). We will not be responsible if you are unable to book a reception at your hotel/venue. Please speak to your wedding co-ordinator to find out what options are available and the hotel/venue’s additional fees (this will usually cover food, drink and venue hire for your wedding reception). Any additional fees payable directly to the hotel/venue for your wedding reception are your responsibility and are not included in your TUI UK wedding package. Please also see “Wedding Extras” below.
Please note: most hotels have strict rules and restrictions on wedding couples using their all-inclusive as part of their wedding reception and won’t always allow it. If this is something you are interested in doing, you’ll need to discuss this with your wedding co-ordinator.
Wedding Date Requests
When you book with us, we will ask you to provide us with 3 preferred dates, which we will share in order of priority with the hotel/venue. Unfortunately, we cannot guarantee that your preferred date(s) will be available as they are managed locally by the local registrar (or similar) for all wedding venues.
We will let you know if any of your preferred dates are available. If we cannot offer your preferred wedding date(s), we will try to offer you a suitable alternative.
If we cannot offer you a date, you can choose from a full refund of your deposit paid, or a transfer to a suitable alternative holiday and/or wedding, if we can offer one. If you decide to transfer, we will not charge our amendment fees, but you will be responsible for any difference in holiday or TUI UK wedding package cost due on the new booking (we’ll refund the difference if the alternative costs less). The deposit paid for your holiday package remains as per your original terms and conditions, but you may need to pay a top up on your TUI UK wedding package deposit.
Please note: some hotels/venues do not operate during the winter months (usually between November and April). Additionally, some Town Halls (or equivalent) in destination only release date availability a year in advance (usually in the spring (March/April)). This means that the availability of your preferred date(s) may not be confirmed for some time, particularly if you are booking your wedding 2 years in advance.
There may be an out of hours fee if you request a late time slot for your wedding ceremony. If you request a late time, we will let you know what this fee is once the date has been confirmed. Any out of hours fees will be payable by you direct to the hotel/venue as a wedding extra.
Book Your Wedding Day
TUI UK work with a third-party company called BookYourWeddingDay.com. They provide instant date and time confirmation at the time of booking for many of the wedding venues we sell. If this includes your venue, you do not need to wait weeks or provide us with 3 preferred date choices, as you’ll have your date confirmation instantly. Please note, BookYourWeddingDay.com have their own terms and conditions on their website and may charge a fee if you book directly with them.
If You Make Changes to Your TUI UK Wedding Package
If you want to make a change to your TUI UK wedding package, you must let us know as soon as possible. Whilst we will try our best to arrange the change requested, it may not be possible. Any change requested is subject to availability.
Some of the wedding service providers may charge a fee for changes to wedding arrangements included in your TUI UK wedding package and sometimes even treat a change as a cancellation. Fees can be up to 100% of the price of the wedding arrangement being changed. You must pay those fees in addition to our amendment fee of £100.
If the change you have requested means that the cost of your TUI UK wedding package increases, you will also be responsible for paying the difference in price. We will refund you the difference, minus the amendment fee if the cost of your TUI UK wedding package decreases.
Please note: If the change you have requested also affects your package holiday booking, the amendment fees set out in “If You Change Your Holiday” in TUI UK’s Agreement for Package Holidays will also apply.
If You Cancel Your TUI UK Wedding Package
You must let us know as soon as possible if you wish to cancel your wedding.
Please note: you cannot cancel your package holiday without also cancelling your wedding.
Since we incur costs when you cancel, you must pay a cancellation fee as set out in the table below:
Cancellation Scenario | Cancellation Fee |
---|---|
If you cancel both your package holiday and TUI UK wedding package | Total cancellation fee consists of: 1. The cancellation fees set out in “If You Cancel Your Holiday” of TUI UK’s Agreement for Package Holidays; plus 2. the TUI UK wedding package cancellation fees imposed by the local wedding supplier/hotel/venue*. We will let you know what these fees are when you make your cancellation. |
If you cancel your TUI UK wedding package only | The TUI UK wedding package cancellation fees imposed by the local wedding supplier/hotel/venue*. We will let you know what these fees are when you make your cancellation. |
*Some or all of the wedding arrangements included in your TUI UK wedding package may not be cancellable after they have been booked and any cancellation could incur a cancellation fee of up to 100% of either that part of the arrangements or the cost of the TUI UK wedding package.
You may be able to reclaim these cancellation fees if the reason for your cancellation is covered under the terms of your insurance.
If you are cancelling because of an event beyond our control (as defined in TUI UK’s Agreement for Package Holidays) happening at your destination that significantly impacts the performance of your TUI UK wedding package, you will not have to pay a cancellation fee and will be entitled to a refund. Please note: this does not apply if you are cancelling due to a change of mind i.e. where the TUI UK wedding package can still be performed.
If We Make Changes to Your Wedding
We aim to give you what we promise, but our TUI UK wedding packages are agreed many months in advance with our local suppliers. This means that very occasionally, we may have to make changes to your TUI UK wedding package. We will let you know as soon as possible if there are any changes.
If we make a major change to your wedding, such as a change to your confirmed wedding time by more than 12 hours, you will have the choice of accepting the change, cancelling and receiving a refund or changing to a suitable alternative (if we are able to offer you one). If we make a major change and you choose to cancel, we’ll also pay the compensation shown in “If we Change Your Holiday” of TUI UK’s Agreement for Package Holidays, except where the change is because of an event beyond our control (as defined in TUI UK’s Agreement for Package Holidays).
If We Cancel Your Wedding
Except in circumstances where you have not paid your final balance or you have been disruptive, if we cancel your wedding, we will give you a full refund or you can accept an alternative wedding of a similar standard and price from us (if we are able to offer one). You may also be entitled to compensation as specified in “If We Cancel Your Holiday” of TUI UK’s Agreement for Package Holidays, except when the cancellation is due to events beyond our control (as defined in TUI UK’s Agreement for Package Holidays).
Wedding Legal Documentation and Local Legal Formalities
Whilst we can provide you with general information regarding legal documentation and local legal formalities, it remains your responsibility to pay for and ensure that you have all correct documentation, approvals, translations, seals and legalisation (where applicable) for your wedding.
If you have booked a legal wedding ceremony, some destinations will require you to visit the local Town Hall or Registry Office (or equivalent) before your wedding to complete official paperwork and pay the corresponding fee. Your Wedding Contract or your wedding co-ordinator will confirm if this applies to your TUI UK wedding package.
If you have booked a symbolic wedding ceremony or renewal of vows, you may be required to meet the local celebrant in destination. Your Wedding Contract or your wedding co-ordinator will confirm if this applies to your TUI UK wedding package.
It is essential that you take all required documentation with you when you travel to your wedding destination.
TUI UK is not responsible if you do not meet these requirements by having incorrect, missing or wrong documentation, approvals, translations, seals or legalisation (where applicable).
Local country laws can change at any time, so it is important that you frequently check requirements locally. We recommend that you seek the help of a professional service when organising your wedding documents, obtaining required approvals, translations, seals and legalisation (where applicable). If we know of any professionals locally, we will list their contact details in your Wedding Contract or let you know separately. We can arrange for them to contact you, but only if you provide us with your written consent to share your contact details.
You can also visit the UK Government’s website to find the most up to date documentation advice, and see further information on the UK’s legalisation process.
Passport and Visa Requirements
You are responsible for ensuring you meet all passport, visa, health and immigration requirements needed to travel to and marry in your destination. We recommend that you confirm these with the relevant embassies and/or consulates. TUI UK is not responsible if you are unable to travel or get married because you have failed to meet all passport, visa, health and immigration requirements.
Minimum Residency Requirements
The wedding couple may need to have checked-in and stayed at their hotel/in destination for a minimum number of days before and/or after their wedding/ceremony day (minimum residency). If you do not meet this requirement, your wedding/ceremony will not be able to take place. The minimum residency applicable to your wedding will be confirmed in your Wedding Contract.
Wedding Extras
We are only responsible for providing the services included in your TUI UK wedding package, as detailed in your Wedding Contract. We are not responsible for any wedding extras that you book (this includes where wedding extras are sold to you by another TUI entity).
Any extras that you desire, which are not included in your TUI UK wedding package, will need to be booked and paid for directly with the hotel/venue/supplier via your wedding co-ordinator or directly (this includes if you make a separate booking for wedding extras with any other TUI entity, such as TUI Greece and TUI Cyprus, for example).
Full payment for wedding extras is usually required before your wedding/ceremony day. Your contract for those extra services will be with the hotel/venue/supplier and not TUI UK. This means that their terms and conditions will apply. We do not accept any responsibility for any extras that you book directly with the hotel/venue/suppliers.
Witnesses
Certain types of wedding ceremony will require the wedding couple to have 2 (or more) witnesses present to fulfil legal witness requirements. This typically applies to legal wedding ceremonies but may differ per venue. There may also be witness documentation requirements that you will also need to meet. The witness requirements applicable to your chosen wedding ceremony at your hotel will be outlined in your Wedding Contract, but it remains your responsibility to meet any local witness requirements. Please ensure you regularly check these requirements as they may be changed by local authorities at any time.
Luggage allowance
Couples booking one of our TUI UK wedding packages will get 25kg hold luggage each when flying with TUI Airways. Just so you know, TUI Airways flights have a flight number that starts with TOM or BY. If you’re flying with another airline, your allowance will be confirmed at the time of booking your package holiday (luggage charges may apply).
Using your Information
All details provided by you will be held by TUI UK and used in accordance with our Privacy Notice available on our website or upon request in our retail stores. To provide you with your booking service, we may share your personal data with the suppliers of your Wedding and Travel Arrangements, including airlines, hotels, venues and transport companies.
Linking Bookings
If you have guests attending your wedding, that are not part of your original booking, please keep a note of their TUI booking references and provide them to us as soon as possible. By providing these references and giving us permission to link them with your booking, it gives us the opportunity to treat you as one wedding party. If you do not provide us with the booking references and permission to link the bookings, we will not know who is included in your wedding party. This is especially important if we have key information to share with all of you regarding your wedding.
Around 3 months before you travel, the Wedding Contact Centre team will contact you with a form to add everyone’s references. If you have not done so by this point, please fill it in and send back to the team.
If your TUI UK wedding package is complimentary, it is important that you have the references at the time of booking as it may impact whether you qualify for the complimentary package.
Service Models Explained
TUI UK operates three service models for its weddings:
Service model type | Details |
---|---|
TUI-led weddings | Many of our weddings held in hotels in Cyprus, Greece, or Turkey are co-ordinated by TUI Group employees*. |
Hotel-led weddings | Are coordinated by the hotel's wedding co-ordinator and include: 1. some weddings in Cyprus, Greece, or Turkey; and 2. weddings at hotels in all other TUI wedding destinations*. |
External venue weddings | Are weddings that take place outside of hotels. A wedding co-ordinator, who partners with TUI, will typically manage these weddings*. |
*If you book wedding extras via your wedding co-ordinator, they will not form part of your TUI UK wedding package. Please also refer to “Wedding Extras” above.
All wedding co-ordinators work closely with you to plan your perfect day, whether they are TUI employees, hotel staff, or external partners.
Contact with TUI UK/Your Wedding Co-ordinator
Once your booking is confirmed, we will provide you with contact details for your wedding co-ordinator. Your wedding co-ordinator will be your main point of contact for your wedding and will help you to get wedding ready.
Please note that for some of our destinations, wedding co-ordinators do not start wedding planning until a couple of months prior to your wedding. If you are marrying in a destination that closes over Winter (often between November and April) you might not hear from anyone until the destination has reopened for the tourism season once again.
You can also contact The Weddings Team on 0203 4512 688 if you have any general questions.
Behaviour
Whilst we appreciate your special day is something to celebrate, we ask that you and your wedding guests refrain from any disruptive behaviour towards other hotel residents, venue guests, employees, agents, partners or property of TUI UK, your hotel or venue.
Disruptive behaviour includes threatening, abusive, disrespectful, annoying, disturbing or dangerous behaviour and damaging/losing property.
If you are disruptive, you will be responsible for any damages, costs and expenses (including legal expenses) incurred as a result. This includes cleaning, repair and/or replacement costs of property lost, damaged or destroyed by you and compensating any individuals affected by your, or your guests, disruptive behaviour.
If you, or any of your wedding guests are disruptive, we can remove you and/or them from the hotel or venue. In these circumstances, you will not be entitled to a refund, compensation, costs or expenses from us.
The above applies in addition to the terms set out in “Behaviour” in TUI UK’s Agreement for Package Holidays.
Complaints
Issues are rare, but if they do occur, please let us know as soon as possible so we can resolve the issue for you. You can do this by speaking to your wedding co-ordinator or the hotel/venue/supplier straight away. You can also contact us on 0203 451 2688.
We follow ABTA’s Code of Conduct and usually solve any issues but you can use ABTA’s ADR scheme for resolving disputes at www.abta.com.
Financial Protection
We provide security for the money you pay for your holiday and TUI UK wedding package and to bring you home in the event we become insolvent. When you buy a holiday/ TUI UK wedding package from us that includes a flight, we do this by way of an ATOL (number 2524) managed by the Civil Aviation Authority, Gatwick Airport South, RH6 0YR. We also place a bond held by ABTA (V5126), 30 Park Street, London, SE1 9EQ, for holidays/weddings that do not include flights.
Your Financial Protection. When you buy an ATOL protected flight or flight inclusive package from us you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong.
We, or the suppliers identified on your ATOL Certificate, will provide you with the services listed on the ATOL Certificate (or a suitable alternative). In some cases, where neither we nor the supplier are able to do so for reasons of insolvency, an alternative ATOL holder may provide you with the services you have bought or a suitable alternative (at no extra cost to you). You agree to accept that in those circumstances the alternative ATOL holder will perform those obligations and you agree to pay any money outstanding to be paid by you under your contract to that alternative ATOL holder. However, you also agree that in some cases it will not be possible to appoint an alternative ATOL holder, in which case you will be entitled to make a claim under the ATOL scheme (or your credit card issuer where applicable).
If we, or the suppliers identified on your ATOL certificate, are unable to provide the services listed (or a suitable alternative, through an alternative ATOL holder or otherwise) for reasons of insolvency, the Trustees of the Air Travel Trust may make a payment to (or confer a benefit on) you under the ATOL scheme. You agree that in return for such a payment or benefit you assign absolutely to those Trustees any claims which you have or may have arising out of or relating to the non-provision of the services, including any claim against us, the travel agent (or your credit card issuer where applicable). You also agree that any such claims may be re-assigned to another body, if that other body has paid sums you have claimed under the ATOL scheme.
Where your holiday is protected under the ABTA scheme, you agree to accept that in the event of our insolvency ABTA may arrange for the services you have bought to continue, or for a suitable alternative to be provided at the same cost as your original holiday. You also agree to accept that in circumstances where the travel service provider provides the services you have bought, you agree to pay any outstanding sum under your contract with us to that alternative travel service provider. However, you also agree that in some cases the services will not be provided, in which case you will be entitled to make a claim under ABTA’s Scheme of Protection (or your payment card issuer where applicable) for a refund of the monies you have paid.
All money you pay to a travel agent for your holiday is held by that agent on behalf of and for the benefit of the Trustees of the Air Travel Trust at all times but subject to the agent’s obligation to pay it to us for so long as we do not fail. If we do fail, any money held at that time by the agent, or subsequently accepted from you by the agent, is and continues to be held by that agent on behalf of and for the benefit of the Trustees of the Air Travel Trust without any obligation to pay that money to us.
